eCampus application software

We at Larsen & Toubro use eCampus application to manage our day to day administrative needs.  While the company is divided into various operating divisions, which are given a free hand to use any software as suited to their business needs, the administrative setup is central and common across operating divisions. eCampus application is developed by the central administrative team and is used by all the 50,000 employees.

The application was created mainly to automate the process of

·                                 Booking gate passes for visitors to enter the campus. 

·                                 Booking holiday homes & transit houses.

However, the software has also evolved as a portal to communicate circulars, spot news, canteen menu, complaint loging and a host of other peripheral things. The graphical interface is very user simple and user friendly. Usage of this portal is amongst one of the top five used software applications in L&T.

A brief on each of the utilities

·                                 Booking gate passes : This process was very tedious previously, wanting the security cell to call the person being visited and take his/her permission, then creating a

manual gate pass and letting the visitor in.  Sometimes if the person being visited is not on his seat, the visitor had to wait till the security personnel could connect to the person being visited. This was time consuming and sometimes humiliating to the visitor.

The present system of booking gate pass through eCampus is very simple. We enter the particulars of the visiting person. Various fields like name, organization, purpose of visit (official/personal/pickup etc), car registration number (if declared as VIP), visiting date, visiting time, mobile number etc has to entered and submitted. A gate pass number is generated which is automatically sent to the visitor’s mobile through SMS. On reaching the campus he/she can quote the number based on which the  security personnel will print out the gate pass and the person can enter the campus. At the end of the visit, the print out of gate pass has to be signed by the person being visited based on which the security personnel will close the gate pass.

Authorizations

·         Not everyone is given the authorization to book gate passes. Authorizations are provided only to employees above a certain level.

·         Holiday home & Transit house booking application is common to all. However, the holiday homes & transit houses available to employees will depend on their cadre.

Security

The login to this application has been made secure by making it prompt for password every month wherein it asks the user to change the password.

Overall eCampus has evolved as very useful application.
